Privacy Policy: Events, marketing and publications

Our privacy notice for events, marketing activity and our publications.

What would we use your personal data for?

From time to time we use your personal information for the following reasons:

  • To take photos of our events
  • To use photos of you in our publications
  • To send you details our events, services and news
  • To interact with you on social media

What information about you would we use?

Depending on how we are interacting with you we will use the following:

  • Name
  • Address
  • Phone number
  • Email address (usually to send you details of our news and events)
  • Social media information (to interact with you online)
  • Date of birth or age
  • Current or historic physical health information
  • Current or historic sexual health information
  • Current or historic mental health information
  • Current or historic criminal history
  • Current or historic sexual orientation
  • Current or historic gender
  • Racial or ethnic origin
  • Current or historic religious or other beliefs of a similar nature

Who will be using your personal data?

METRO will be the main Controller of your information. However, on occasion, we share your information with another service (for example, a magazine, advertising agency or partner organisation). On each occasion, as part of seeking your consent to do so, we will tell you they are.

In order to send you emails about our services and news we use a system called Mailchimp. This is hosted and maintained by The Rocket Science Group LLC, you can find their Privacy Policy on their website.

What gives us the right to ask for it and use it?

In order to use your information for any sort of marketing or promotional reasons we need your consent. Where you refuse consent your information will not be used for these reasons. Please be aware however, that if you consent at first and they remove consent after a publication is made it may prove difficult for METRO to remove all copies that contain your image.

At events, where there are a large number of people present, we will try to seek your consent before using any images that may identify you however please be aware that at large events this may be more difficult. However, any official photographer will make themselves known and you can ask for any images to be removed by them on the day.

How long will your data be kept?

Where you no longer consent to receive the messages, we send your contact details will be deleted once the request is dealt with.

Where you no longer consent to your images being used for promotional purposes however, while we can delete the images and information within out control, where publications have gone beyond our control they will still exist and cannot automatically be removed.

Our use of your data will be subject to the following legal rights:

  • Your right to be informed as to how we use your personal data
  • Your right to access personal data we hold and use about you
  • Your right for us to rectify your personal data if you believe it is incorrect
  • Your right to object to us using your data for specific reasons
  • Your right to restrict our use of your data for specific reasons
  • Your right to delete any personal data we may use and hold on you
  • Your Right to object to any profiling we may do on you

We may also receive personal information about you from others:

On occasion we may get passed your contact details from either a person or organisation that has recommended you for one of our events or publications. We will contact you directly before proceeding with using your personal information for any of our events or promotions.
